Document checklist — enrolling in school in Portugal

Child's passport (and copies)

Bring original + 2 colour photocopies. Some schools request a notarised copy.

Parent / guardian passport(s)

Both parents if both listed as guardians.

Child's birth certificate

Must be apostilled or legalised if issued outside Portugal. See apostille section below.

Proof of residency in Portugal (Autorização de Residência / SEF card)

Or visa/visto active in passport. State schools require legal residency.

NIF — Número de Identificação Fiscal (Portuguese tax number)

Required for virtually all official processes. Apply at any Finanças office or online via AT portal. Child and parents each need one.

NISS — Número de Identificação da Segurança Social

Required for IPSS nurseries and some state school processes. Apply at Segurança Social Direta or in person.

SNS (health system) number

Not mandatory for school enrolment, but needed for the school health card. Register at your local health centre.

Last 2 years of school reports / transcripts

International schools usually accept them in English. For state schools, official translation (certificada) may be required.

Letter from previous school confirming year group and attendance

Useful even if not strictly required — speeds up the process.

Equivalência de habilitações (academic equivalency) — if entering state school

Apply at DGES or through the school. Required for children who have not studied in the Portuguese system. Process takes 4–8 weeks.

Official IB transcript or results (if applicable)

Request directly from the IBO. Required for IB school transfers.

Vaccination record (Boletim de Vacinas or equivalent)

Must show BCG, MMR, DTP and polio vaccines at minimum. If your home country record differs from the Portuguese schedule, your SNS health centre will advise on catch-ups.

Health declaration or paediatric assessment letter

Some private schools request a declaration from a paediatrician confirming the child is fit to attend.

IRS declaration (Portuguese tax return) or last 3 payslips

New residents without a Portuguese IRS declaration can use payslips or employer letters. If self-employed, use receipts from Finanças portal.

Proof of household composition (Declaração de composição do agregado familiar)

Obtained from Junta de Freguesia (parish council) or via NISS portal.

Bank statements (last 3 months)

Some IPSS institutions request this as a supplement or if other income proof is unavailable.

Rental contract or property deed

Should be stamped/registered (contrato de arrendamento registado). Valid for 12 months.

Utility bill (electricity, water, gas) in your name

Must be recent (within 3 months). Some schools accept a bank statement if utility bills are not yet in your name.

Apostille on birth certificate (and other key documents from non-EU countries)

Issued by the competent authority in the country that issued the document (e.g. UK: FCDO; US: Secretary of State). Allow 2–6 weeks. Not required for EU/EEA documents.

Certified Portuguese translation (tradução juramentada)

Required by state schools for foreign documents. Use a sworn translator registered with the Portuguese Consulate or Ministry of Justice. Cost: €30–€80 per page.
